Today I’m sharing the third piece: communication systems.
This is what makes the whole framework sustainable long-term.

Weekly check-ins with general managers
I have a standing weekly call with each of my general managers.
These are structured conversations covering what’s happening on the ground, how the team is performing, and anything coming up that needs owner awareness.
These calls keep me genuinely informed without requiring me to be present in daily operations.
The GM handles everything beneath the owner level.
My job on these calls is to listen, ask the right questions, and make decisions when decisions are needed.

Monthly deep dives
Once a month I do a longer session with each business.
These include thorough reviews of performance, what’s working and what isn’t, and where the business should be directing energy over the next 30 days.
This is where trends get examined more carefully, where strategic decisions get made, and where I can look at the bigger picture rather than the day-to-day.

Emergency protocols
The third piece is something most new owners overlook:
A clear agreement with your management team about what kinds of decisions require owner approval and how to reach you when something genuinely urgent comes up.
Having this defined upfront means that the things that do need you get to you quickly, with the right context, so you can make a decision and move on.
Most business owners believe they need to be involved in everything to maintain quality, which traps them.
Good systems exist to remove you as the bottleneck.
Build them right, and your business can perform whether you’re there or not.
